Group bookings
without the chaos.

GroupFlow replaces the spreadsheets, email chains, and manual data entry that cost your front desk 4–10 hours per group. One tool. Clean data. Ready for your PMS.

30 years in travel.
Hit the wall.
Started building tech.

REAL TEAM started as a family travel agency in 1994. Our parents ran group trips — school ski trips, youth sport tournaments, thousands of participants over three decades. When we started running FRESH, our international sport camp, we managed 200+ athletes from 27 countries across five sold-out editions. All on spreadsheets and email chains.

The process worked — until it didn't scale. Too many names, too many variable dates, too many back-and-forth emails with the hotel. We looked for existing solutions. Nothing fit. So we built GroupFlow. Thanks to AI we can build faster and more professionally — but it's 30 years of organizing group travel that tells us what to build.

GroupFlow
Group Booking Manager for hotels.

We exchanged 60+ emails per camp with our hotels. Five sold-out editions, 200+ guests from 27 countries. Same chaos every time — until we built the fix. Now it's available to any hotel.

The problem

Your front desk knows this

A group booking request arrives. You send the rooming list template. Wait for it back. Re-enter 40 names manually. The organizer sends corrections. Re-enter again. Someone changes their dates. Another email. Export to the PMS somehow. Repeat for every group, every season.

4–10 hrs
of front desk time — per group booking

And the group organizer?

They're drowning too. 20–25 emails per booking. We know — we counted 60+ for our own sport camp with 54 guests. The spreadsheet they send you is already out of date by the time you open it.

The solution

You give the group organizer one link. Their guests fill in arrival dates, room preferences, and meal plans themselves. No more emails, no more spreadsheets landing in your inbox.

Your front desk sees clean, structured data. Names, dates, categories, meal plans — all in one place. No more re-typing from Word documents.

Ready for your system. Export directly into your PMS. No manual entry. Your team saves hours per group.

Chatbot vs. Agent: the #1 misunderstanding in AI adoption

Everyone says "agent" but means "chatbot." A chatbot answers questions. An agent goes out and does things. If you don't know the difference, you'll build the wrong thing.

AI Moment

My dictation software started SCREAMING at me

I raised my voice during a coding session. The AI didn't just hear my words — it heard my emotions and rendered everything in ALL CAPS. We're past transcription. We're at emotional interpretation.
